Annual Chapters Conclave

Inaugural meet in Goa on June 30^th and 1^st July 2012

Are you interested in meeting, sharing ideas with, and learning from other chapter volunteers of IITBAA and leaders of IITB alumni movement from different parts of the world? Are you interested in discussing methods for sustaining and growing your chapter, finding and retaining committed volunteers, issues of financial sustainability of the chapters, creating networking or business opportunities for alumni or even the issue engaging IITBAA Distinguished Alumni with chapters in a regular sustained basis?

If you answered yes to one or more of these questions, then you should plan to attend IITBAA’s inaugural Chapter’s Conclave on 30th June and 1st July, 2012.

IITBAA being the central body engaged with alumni across chapters and beyond, we thought it would be a great idea to have an annual meet of all the chapter leaders. This event should result into opportunities which can be potentially leveraged across chapters. The main objective of this meet is to have better integration between IITB alumni chapters and IITBAA to add significant value to alumni.

Through this event, all chapter leaders, being AA’s last mile contact with the alumni, can understand the execution challenges and needs of alumni better. This event will bring them together to facilitate growth of the alumni movement. This meet will also focus on how IITBAA and chapters can coordinate to generate sufficient sponsorship to meet the chapters’ and AA’s on‐going needs.

We propose to hold this meet every year around the June‐July time‐frame, just in time for the annual AA office bearer elections. We propose that this event be held at a location that most of us would be eager to visit. We also propose that each year the alumni community will give us something special to rally around.

This note is about the inaugural chapter leaders’ meet. The location is beautiful Goa! The occasion is Manohar Parrikar’s election as the Chief Minister of Goa. Manu (his fond nickname among the IITB alums) has kindly agreed to host the entire event and make part of his busy calendar available to have business discussions on investment opportunities in Goa.

Collaboration between Chapters :

This can be implemented in many ways and we plan to allocate half a day to share ideas between chapters on

how they have done something in their chapter and how that can be replicated. This will enable us to address:

1. How to better facilitate the growth of IITB Alumni leveraging the powerful smart influential network we all are part of.

2. How to coordinate better between the chapters to organize across chapters events, thereby reducing the overhead of repeat tasks and leverage the highly passionate chapter’s core groups in more efficient ways. We wish to specifically discuss the following two events contemplated across all chapters

1. 2012 Freshers’ Welcome party

2. Meet Manu event at each chapter

Opportunities in Goa:

CM Manu is available to discuss some of the business investment in the state. A half‐day session is planned to have discussions around some of the proposals for engagements in the state from IITB alumni. This session can be of significant value to alumni interested in investment in the state and for IITBAA chapters as potential source of fund raising. This can be done in two steps:

1. Making chapter alumni aware of the event giving access to the CM for discussion of business opportunities and the facilitation role played by chapter’s core group in making it happen. Based on the response from alumni in each chapter, an invitation to the CM may be extended by the leaders of each chapter for a Meet Manu event at each chapter. This will of course be based on merits of proposal and Manu’s discretion.

2. Additionally, chapter leaders may facilitate – in return for sponsorship towards the chapter or AA – one or two local businesses to join them in this Chapter Leaders’ meet as their invitees for a direct interaction with the CM.

   

Schedule of Inaugural IITBAA Chapter’s Conclave, Goa :

 Date for the inaugural event: Spread over 30th June (Sat) and 1st July (Sun) 2012 

Theme: Inaugural Chapter Leaders’ Meet and Meet Manu planning

Location: Goa International Centre

Attendees: By invitation only – all worldwide Chapter leaders (two from each), IITB leaders – Director, Dean ACR, all other Deans, Student Alumni Relation Cell (SARC) leaders, Alumni Association Executive Committee+Board of Directors, Heritage Fund Executive Committee+Board of Directors, Standing Committee, Chief Development Officer (CDO), Distinguished Alumni (DA), Distinguished Service Awardee (DSA), Head of Department (HoD).

Funding: All except AA staff travel at their own expense, Chapters may generate sponsorship for their own office bearers to travel, sponsorship for the entire event to be generated by AA Directors.

Program: Spread over two days: Lot of interaction time, rapidly moving items, keynote, speeches, panels, and brainstorming.

Speakers: Manu. The rest to be proposed (Suggestions: Goa AA leaders, AA/HF Director, famous alumni invited, successful program champions invited)

Expense per head:

Not Staying at Goa International Centre: INR 2000

This covers all the costs of event spreading over 30th whole day and 1st until lunch.

Staying at Goa International Centre: INR 5000

This covers all the costs of event spreading over 30th whole day and 1st until lunch and room rent for two nights of 29th and 30^th.

Above are at double occupancy rates, should you prefer single occupancy, do mention it explicitly, there may be some extra charge for that. Should you plan to extend the stay, or plan to reach earlier do drop us a note so that we can update the booking appropriately. You can make the payment at the event.
